The Hidden Cost of Paper Checklists in a Bankruptcy Practice

A time-motion analysis of staff hours spent chasing missing documents — and what the real cost per case looks like when you count every follow-up.

Most bankruptcy firms know that document chasing takes time. Few have counted exactly how much. When we started working with our pilot firms, one of the first things we asked them to track was the number of staff-initiated follow-up contacts per case before the 341 document package was complete. The average was 4.2.

What 4.2 follow-up contacts costs

Each follow-up contact involves some combination of drafting an email, making a phone call, leaving a voicemail, logging the contact in the case management system, and noting the outstanding item on the checklist. Conservatively, each contact takes 8–12 minutes of staff time when you include the logging.

At 4.2 contacts per case and 10 minutes per contact, that is 42 minutes of staff time per case on document chasing alone. At a firm handling 100 cases per month, that is 70 staff-hours per month — nearly two full work weeks — spent on follow-up that the platform eliminates or reduces significantly.

The real cost is not just time

The harder cost is the gap risk. A paper checklist does not alert you when a 90-day bank statement window becomes an 89-day window because a statement is missing. It does not flag that the paystubs received cover February through April but the means test period runs November through April. The checklist says "bank statements: received." The period covered is a manual verification that often happens after the export rather than before.

Automated checklists with period-aware validation eliminate that class of error entirely.
